Coordinates meetings and events, department financial operations, personnel operations, and facility operations. The Administrative Assistant manages calendars and schedule(s), coordinates travel arrangements, and processes business expenses. The Administrative Assistant performs a variety of complex administrative functions. Associate’s Degree preferred or equivalent.1 or more years of information systems experience preferred.3 or more years of Administrative Assistant experience required.Meeting Support including meal order and delivery coordination, materials availability, and room set-up.Order office supplies and kitchen supplies.Faxing, scanning, copying, and filing of documents.Inventory control and procurement of office and computer supplies for the department through Lawson.Significant part of the day is meeting the coordinator for project workgroups travel scheduling for operations audits, system rollouts/upgrades and training policy development and updates and workgroup/committee meeting minutes, and meeting support.for tapes returned and archived off-premise) Track and control tape movement (i.e., tapes picked up for offsite storage maintenance of a control sheet by application system, version, etc.Take overflow phone calls for staff, provide computer system backup, and cross-train in all administrative duties within the department.Work collaboratively with Executive Assistant and business partners and with other Administrative Assistants.The Administrative Assistant works directly with the Executive Assistant to the Vice President in the planning, execution, and communication of their responsibilities and often handles confidential cost/expense or business-related information with professionalism and integrity. The Administrative Assistant provides responsive and high-quality services in a high-pressure, dynamic environment and consistently demonstrates a strong sense of accomplishment in collaborative efforts to meet the department's needs. The Administrative Assistant performs all administrative and clerical duties in connection with supporting the department. Strong organizational skills with the ability to multi-task.Excellent written and verbal communication skills.Attention to detail and problem-solving skills.Excellent time management skills and the ability to prioritize work.Proficiency in MS Office (MS Excel and MS PowerPoint, in particular).Working knowledge of office equipment, like printers and fax machines.Knowledge of office management systems and procedures.Proven experience as an Administrative Assistant.Act as the point of contact for internal and external clients.Order office supplies and research new deals and suppliers.Update and maintain office policies and procedures.Assist in the preparation of regularly scheduled reports.Write and distribute emails, correspondence memos, letters, faxes, and forms to clients.Plan meetings and take detailed minutes.
